Why every transaction should post to the ledger the moment it happens

The month-end scramble is not a discipline problem. It is a design problem — and it disappears when the operational system and the ledger are the same system.

Ask a Ghanaian business owner when they last knew their true cash position and the honest answer is usually “after the accountant finishes”. That is not a discipline problem. It is what happens when the place where work is recorded and the place where money is recorded are two different systems.

A sale is entered in a sales book. Stock leaves on a waybill. The invoice is typed in Word. Somewhere between the third and the twentieth of the following month, an accountant reconstructs all of it into journals. By the time the accounts are ready, the decisions they should have informed have already been made.

What changes when posting is immediate

When the operational module and the ledger are one system, an invoice is not “data to be journalised later” — it is the journal. Receivables move, revenue moves, VAT moves, stock and cost of sales move, all in the same instant, by the same rules, every time.

Three things follow:

  • Your management accounts are current. Not a month behind — current to the last transaction posted.
  • Errors surface while they are cheap. A mispriced invoice shows up as a margin anomaly today, not as a variance in a quarter.
  • Year end stops being an event. If the books have been right all year, the close is a review, not a reconstruction.

The control that makes it safe

Immediate posting only works if it is controlled. That is what maker–checker approvals are for: the person who raises a transaction is not the person who approves it, and nothing reaches the ledger until the second officer signs. Paired with a tamper-evident audit trail, you get speed without giving up the separation of duties your auditor is going to ask about.

That combination — post as it happens, approve before it posts, log everything — is the design principle underneath every product we build.
